Overview

Google Drive is a personal cloud storage service from Google that lets users store and synchronize digital content across computers, laptops and mobile devices, including Android-powered tablet and smartphone devices.

String uses Google Drive as a means to share files with you — your photos and imagery, final artwork, client-provided resources, design proofs, etc. 

As client of STRING, we will continue to host this shared folder. Items you add to this folder will be continue to live in this folder —  though we may add some organization to the folder that we have found helpful.


What to do with your Shared link from STRING

You will receive a link to a shared Google Drive folder. To leverage the benefits of this workflow there a are a few things you need to be aware of. 

  • The shared folder is linked to the email you provided to us. If you have several gmail or other email accounts, you will not be able to view the STRING shared folder from those. You can only access this shared STRING folder through that one email account. If you want to be able to share it from more than this one account, we can show you how to add it. You will need to add the folder to your dirve (file . add to my drive).

  • THE shared STRING folder will show up in your google Drive window under “Shared with me”

  • Open the “Shared with me” folder by clicking on “Shared with me”. In the new window locate the STRING shared folder — it will be called “‘YOUR NAME’ and STRING”. Drag the folder into the folder called “My Drive.” 

  • You may share various items in your personal “My Drive” with other people. Google drive is set up to keep those items confidential so the items you share with us are only visible for you and our team. We will not be able to see what is in your “My Drive” at any time. If you are ever concerned about share privileges, simply right-click on the file/folder and select “Share…” In the window that pops up you can see who has privileges.


How to access your drive folder

  • When you are in Gmail, you can access your drive folder by clicking on this icon of 9 small white square of which opens a menu to the other google apps. Click on the DRIVE icon on the far right:

  • IF you do not have gmail, go to drive.google.com to access the drive. They will be prompted to login if needed.


How to upload items to the Shared STRING folder on Google Drive

To add JPEGs, Microsoft documents, PDFs to our shared folder, you can simply drag and drop them from your desktop to the shared STRING folder. If the item you are sharing is already in a different Google drive folder, you can make a copy and move the document to the shared STRING folder.

Google Docs, Sheet, Presentation

Overview

One of the interesting features of Google Drive is the use of Google Doc, Google Sheets, Google Presentation. These documents are live documents where we can edit and comment simultaneously. They are similar to the working style as Microsoft Office products except that they automatically save (you don't have to do a separate step to save the document). 

                


Some features that are helpful when communicating with STRING 

Leaving a note or comment

  • If you highlight some text a little icon will appear on the right-hand margin. Upon clicking on the icon a window will appear as you see in example 1 above. Simply write your feedback accordingly.

Alerting a note or comment

  • When you enter a comment or edit the document in any way, STRING will not be automatically alerted. But there is a way to do this. In example 2 above you will see that if you type “@” and follow that by an email address, it will give you an options to “assign” that comment to a specific person.

Responding to a note or comment

  • Lastly, the comments will stay visible in the document until the comment is clicked RESOLVED. If you want to answer a question or comment, simply click anywhere in the comment box and you will be given a field to “Reply”. Again, if you want someone alert simply type the “@” symbol and the email address to your desired recipient.
